Explaining the main Unit List screen within the Block section
Click on 'Block' on the navigation panel on the left of your screen and it opens up several subheadings among which there is the Unit list one:
The Unit list section shows you all the Property owners within the block and the status of their account. Refer to the Lists article for more information on how to manage lists.
More Actions Options
Clicking 'More Actions' reveals the option to Download all statements, Import Units and Owners, and Import Units and Schedule Contributions.
1) Download all statements
- This will open pop up in which you will select the information of the statements you want to generate
- Filter Options - All and All in arrears
- Download extension - PDF(one PDF file with all statements) or Zip(compressed folder with individual PDF files per leaseholder)
- From Date - statement start date. Any amount prior to that date will be added together and shown as 'Balance brought Forward'
- No From Date - option which will automatically use the ownership start date as the statement start date. If selected, you will not be able to select a From Date
- To Date - statement end date
- Category - you can select any individual revenue category or All Categories.
2) Import Units and Owners
The Import Units Information article will take you through how to do this.
3. Importing Unit and Schedule Contribution
- This is a much simpler import which allows you to import schedules with apportionment into Resident. You can find details about adding schedules (including import) here.
REMARKS:
- It is recommended only to use this import after adding all units
- This import will only import contributions (percentages). You will have to select categories for each schedule manually.
- Make sure unit names in column A are EXACTLY the same as those in Resident
- You can import multiple schedules in one import.
The example below is showing you a completed template which, once imported, will create two schedules.
Adding Units
You can add Units individually by clicking on the New Unit button at the top left of the screen.
This will open the unit creation screen:
Type in the 'Property Name' you'd like to assign the new Unit to, then select the unit type from the 'Unit Type' drop down box.
Most of those types only have an informative function at the moment but the following two will impact your invoicing process:
Houses - The service charge invoice will not generate the Summary of Rights Page. A separate version of service charge invoice can be set up.
Commercial Units (Adds VAT) - This will add VAT on top of any invoice generated for that unit.
You can choose whether you'd like the Unit name to be added at the beginning of the address on invoices or correspondence by ticking or unticking the box under the Property Name. Then click the Create button to save.
