Adding Your Schedule Contributions (Apportionment)


We can add schedule contributions in one of two ways:


  • Uploading from a spreadsheet
  • Manually


Please see both methods below:


Uploading from a spreadsheet


PLEASE NOTE: The unit names MUST match those in Resident exactly. If there is any discrepancy at all it will create a new unit. This includes extra spaces at the end etc. The best way to ensure you have these written correctly is to download a mail merge extract or other report that lists the unit names. You can then copy and paste these over.


To upload apportionments from a spreadsheet we can navigate to ‘Block’ > ‘Unit list’ then click ‘More Actions’ > ‘Import Units & Schedule Contributions’.



Here we will find the import page with two tabs. 'Usage Instructions' for downloading the template and 'Upload User Data' for importing. We begin with clicking 'Usage Instructions' and downloading the template by clicking the 'Units and Schedule Contribution Template' button.



Once we have downloaded the template we can fill it out either of these ways:

Once we have imported our sheet we will find the schedules in ‘Block’ > ‘Block Accounts’ > ‘Schedules’. 


Here we can assign categories to each schedule by opening the schedule we would like to change (using the eye icon) and clicking on the 'Categories' tab. 



We will tick the categories we require and click 'Update' at the bottom of the page to save.


Manually


To add a schedule manually we begin by navigating to 'Block' > 'Block Accounts' > 'Schedules. 




Here we will see our list of current schedules (if we have any yet). We can now click 'Add Schedules' to open the schedule creation page.


Now we can fill out the details for our schedule with the following:


Schedule NameThis is the name of this particular schedule. It should be generic and not include dates as it can be re-used across periods. There will also be an option to use this in the invoice itself so it is best to give it an easy to understand name.

Custom Id: This is for internal use to identify.

Active: With this ticket the schedule will be selectable. If unticked it will no longer be useable.

Percentage: Here we can input the percentages for each unit one by one or we can click 'Distribute Contribution Evenly' to automatically work out and assign each unit the same percentage. PLEASE NOTE total percentage can be over or under 100%.


Once this is filled out we can move to the 'Categories' tab and select our categories. Once we have ticked the categories we would like to include in this schedule we can scroll to the bottom and click 'Create'


If there are too many categories we can deactivate categories for this block by navigating to 'Block' > 'Block Config' > 'Categories' and changing the 'Active' status with the tick/cross button.
